Terms of Service
Effective1 October 2026
These terms govern your use of Qavio, a macOS application and the web dashboard at qavio.ai. By creating an account or using the app you agree to them. If you do not agree, do not use Qavio.
Who you are agreeing with
Qavio is a sole proprietorship. Its business details are available on request at info@qavio.ai. Throughout these terms, "we" and "Qavio" mean that proprietorship, and "you" means the individual holding the account. The proprietor's name is held by our payment provider and is available on request.
Purchases are a separate matter. Minutes are sold through Dodo Payments, which acts as the merchant of record for the transaction and is the seller on your receipt and your card or bank statement. See the Refund and Cancellation policy for what that means in practice.
What Qavio does
Qavio runs on your Mac. During a session it listens to your microphone and to the audio your Mac is playing, transcribes both on the device, and stores the transcript and any notes locally. When you press a key it can answer a question or summarise what has been said, using your own profile, your uploaded documents and your past transcripts as context. That step sends text to our servers and on to a third-party language model provider.
Qavio produces machine-generated text. It can be wrong, incomplete or out of date. You are responsible for checking anything you rely on. Qavio is not legal, financial, medical or professional advice, and it does not make decisions for you.
Acceptable use
You must not use Qavio in any setting where the other party has prohibited outside assistance. This includes, without limitation:
- Proctored or invigilated examinations, certification tests, licensing exams and academic assessments of any kind.
- Job interviews, technical screens, take-home assessments or hiring exercises where the employer, recruiter or platform has stated that AI assistance, notes or outside help are not permitted.
- Any evaluation, audition or assessment whose rules you would be breaking by receiving help.
Qavio has an interview mode. It exists for preparation, practice and reviewing your own conversations afterwards, and for keeping your own notes and background to hand in conversations where doing so is permitted. It is not a licence to break the rules of an assessment, and using it that way is a breach of these terms.
You also must not use Qavio to:
- Impersonate another person, or misrepresent who is speaking or who produced an answer.
- Record, transcribe or monitor a person covertly where the law or the platform requires their knowledge or consent. See section 4.
- Break the law, infringe someone else's intellectual property, or violate the terms of a meeting platform you are using it alongside.
- Resell, sublicense or redistribute Qavio or the output of our servers as your own service.
- Reverse engineer the service, or attempt to reach accounts or data that are not yours.
We may suspend or close an account that breaches this section, and we may do so without notice where the breach is ongoing or serious. The app shows these rules before your first session and records your agreement on your account. Recording and the consent of other people
A Qavio session captures audio that includes other participants. Laws on recording conversations differ by country and by state, and many meeting platforms and employers have their own rules on top of the law.
Obtaining any consent or giving any notice required where you are is your responsibility, not ours.
Before a session starts, the app says next to the Start button that it will transcribe everyone on the call, and offers a one-line notice to paste into the meeting chat. While a session runs, the floating window shows a live caption row so you can tell at a glance that it is recording, and macOS shows its own recording indicator in the menu bar, which Qavio cannot suppress. Neither of those can know the law where you are sitting or the policy of the call you have joined. If in doubt, tell the other participants before you start.
Your account
You need an account to use Qavio. You are responsible for what happens under it and for keeping access to your email secure, since that is how signing in works. One account is for one person; do not share it. You must be old enough to enter a contract where you live.
Minutes
Qavio is metered in minutes, not seats and not subscriptions. A session is charged for its length, from Start to Stop, rounded up to the next minute. A session under a minute is free, and one session never costs more than 240 minutes. The length is measured by our servers, not by the app. Sessions started before 30 September 2026 were charged only for the minutes in which speech arrived. Answers, coding help and end-of-session write-ups are not charged separately; they are included in the minutes of the session they happen in. New accounts start with a number of free minutes, stated on the pricing page.
Minutes are prepaid credit. They do not expire, they do not renew, and there is nothing to cancel. When your balance reaches zero, sessions continue to record and transcribe on your Mac, but answers, coding help and write-ups pause until you have more.
Prices are shown on the pricing page and may change. A change never affects minutes you have already bought.
Your content
Your recordings, transcripts, notes and uploaded documents are yours. We claim no ownership of them. We process them only to run the service for you, as described in the Privacy policy, and we do not use them to train models.
Availability
Qavio is provided as it is, without warranties of any kind. We do not promise it will be uninterrupted, error free, or that transcription or answers will be accurate. We may change, suspend or discontinue parts of the service; where we discontinue something you have paid for, we will refund the unused balance.
Liability
To the fullest extent the law allows, we are not liable for indirect, incidental or consequential loss, for lost profits or opportunities, or for anything arising from your reliance on output Qavio produced. Our total liability for any claim is limited to the amount you paid us in the twelve months before it arose.
Nothing here excludes liability that cannot lawfully be excluded.
Ending it
You can stop using Qavio and delete your account at any time from the dashboard. We may suspend or close an account for a breach of these terms, in particular section 3. If we close your account for a reason other than a breach, we will refund any unused minutes.
Governing law
These terms are governed by the laws of India, and the courts of India have exclusive jurisdiction over any dispute arising from them.
Changes to these terms
We may update these terms. The date at the top says when they last changed. Where a change is material we will tell account holders by email before it takes effect. Continuing to use Qavio after that means you accept the new version.
